newsroom is designed in a way that a wide variety of information can be filed in the most structured fashion. Thus, information can be individually filtered and displayed according to its relevance. The basic building block for collecting structured data is the system of user-friendly forms, which – depending on the task – are modularly composed of input fields.
The following input fields are available:
- Title (Topics, Activities, Events) – mandatory.
- Description (Topics, Activities, Events) – optional, may contain explanatory Information.
- Owner (Topics, Activities, Events) – mandatory, assigns the (main) person responsible. newsroom sets the name of the user that is logged in. The assigned owner can be changed by Editor in Chiefs.
- Further owners (Topics, Activities, Events) – optional, assigns other persons as co-responsible (team members). Can be changed by Editor in Chiefs or Owners.
- Relevant for units (Topics, Activities, Events) – optional, marks Topics, Activities or Events as relevant for users working for the selected units.
- Relevant for markets (Topics, Activities, Events) – optional, marks Topics, Activities or Events as relevant for users working in the selected markets.
- Lead topic (Topics, Activities, Events) – optional, allows to assign topics, activities and events to strategic lead (key) topics.
- Tags (Topics, Activities, Events) – optional (entries are highly recommended), keywords support usern when filtering relevant information and creating reports.
- Confidential (Topics, Activities, Events) – optional, by selecting “Confidential”, corresponding topics, activities and events are displayed to the owners and co-owners only.
- Link to further information (topics, activities, events) – optional, link to external web-sites as well as internal drives or share points.
- Scope (Activities, Events) – optional, enables filtering scope by “international”, “national”, or “local” relevance of an Activity or Event.
- Status (Activities) – mandatory field, displays the respective process status for activities. In the newsroom backend, you can create as many statuses as you need. Each status must be assigned to a status group: “Start”, “Edit”, “Finish”.
- Assigned to topic (Activities) – mandatory field, indicates which topic an activity is assigned to.
- Future activity (Activities) – optional, to mark activities that do not yet have a date of publication.
- Publication (Activities) – mandatory field, planned date of publication.
- Retention period (Activities) – optional, allows the setting of a retention period for the use of activities (or their content). Example: if material is handed out to journalists a day before the actual planned date of publication. In this case, the retention period is after the date of publication (that would be the day of the hand out to journalists).
- Target unit (Activities) – mandatory field, assigns the unit responsible for the activity. As a default, newsroom sets the unit defined in the user’s profile.
- Target market (Activities) – mandatory field, assigns the most important or leading market selected for the activity. As a default, newsroom sets the target market defined in the user’s profile.
- Activity type (Activities) – mandatory field, is selected from the list of activity types defined in the newsroom backend.
- Assigned to event (Activities) – optional, links/assigns activities to events. This enables the user, to list all activities linked with particular Event, e.g. in the event view.
- Coordination language (Activities) – mandatory field, selection of the language in which content of the respective activity is to be reconciled. As a default, newsroom sets the coordination language defined in the user’s profile.
- Translations (Activities) – optional, selrction of those languages for which translations of the respective activity or their contents are required.
- Recommend activity for further markets (Activities) – optional, indicates relevant activities to users in the selected markets.
- Event type (Events) – mandatory field, is selected from the list of Event types defined in the newsroom backend.
- Date (Events) – mandatory field, specifies the date or duration of an event.
- Country (Events) – optional, specifies the country in which an event takes place.Location (Events) – optional, specifies the location of an event.
- Link to event website (Events) – optional, can link to external Web pages, but also to internal drives or sharepoints.
